MAIN PURPOSE

KEY RESPONSIBILITIES
Project Management
Project Tracker for all brands (Shiseido, LM, CPB, NARS, Elixir, DE) on Store Construction and Visual Merchandising/ Marketing GWP
-
Follow up with markets across brands on Store Projection schedules

Adhoc SDVM Project Timelines upon receiving project briefs
-
Support Project Management reporting details
-
Consolidate APAC Project final costs of Store Construction/Renovations
-
Support Project Management reports eg. Store/Project Count, Project Workload Count
SAPAC Regional Production- VMD/Evergreen/EC Gifting/GWP (Shiseido, CPB, LM incl Mecca and Sephora Gondola/Tester Unit Updates)

Monitor Production timeline for shipment to On Counter

APAC Orders Consolidation including billing and shipping details
-
Consolidated Regional PO Creation
-
Track PO approvals
-
PO Goods Receipt and Invoice Submission

Track Production Pieces from Regional Offerings and Ensure library maintenance

Track Color Proofs/Products and Ensure library maintenance
SAPAC Regional Production from Global Deployment- VMD (NARS, LM)

Monitor Production timeline for shipment to On Counter

APAC Orders Consolidation including billing and shipping details

Consolidated Regional PO Creation

Track PO approvals

PO Goods Receipt and Invoice Submission
Shipment Coordination- (Shiseido, LM, NARS)

Track production shipment dates

Review of shipment documentation (Commercial Invoices and Packing Lists)

Support to align vendors to release shipment notification alerts to markets

Release rebilling invoices for markets to use invoice for import custom clearance

Review Shipment Pickup status

Support to raise and review Shipment China E-Authorisations for all China vendors
Indirect Procurement
APAC VM/GWP Vendors’ & Retail Construction Shopfitters’ Accreditions

Support and Track vendor accreditations

Review Shopfitter Ratecard formats and administratives
Review Local Cost Biddings from Shopfitters (wef from 2H 2021)

Track local Purchase Order Agreement for project appointment with the relevant approved design drawings as a package
VMD/GWP Cost Biddings

Support Cost Biddings up to 3-4 vendors for projects required or upon request
-
Support Bidding Analysis for project appointment based on costs, expertise, materials sourcing and specifications
VMD Creatives Communications

HQ/APAC VMD Support

HQ Assets Tracking

HQ Ordering and Tracking of Samples

Track Visual Assets Visual Expiry

Support reviewing of APAC VMD forecasts upon HQ’s communication on MOQ not met

REQUIREMENTS
-
At least 2 years experience in Project Support Management and Indirect Procurement in Retail Design Environment
-
Strong understanding of project process and timeline management
-
Strong communication skills to liaise with stakeholders from HQ, RHQ, Affiliate and vendors
-
Take the initiative to suggest and advise on process improvements on project management relevancy.
-
Good knowledge in Microsoft Office, SAP systems and Adobe software is a plus
