Asia Pacific - Regional HR Operations Intern

MAIN PURPOSE
We are seeking a motivated and dynamic individual to join as Regional HR Operations Intern to our team. This internship offers an opportunity to gain hands-on experience in Global HR Information System initiatives, HR shared services operations, and Data analytics within a regional context in Shiseido.
KEY RESPONSIBILITIES
1. Regional HR Information System enhancement support (specifically Onboarding module within the system) – 65 %
- Assist with logistics for project stakeholders, including scheduling meetings, coordinating communications, and managing project timelines.
- Working alongside with different departments/teams to ensure that processes are streamlined and that the latest updates will meet our system requirements
- Participate in validation of the technical enhancements and gathering feedback to ensure that updates meet our requirements.
- Create and refine process guidebook / documents to support Regional and Country’s end users
- Support change management initiatives by gaining understanding of current processes for each local market and finding opportunities for improvements to ensure the process changes is in place.
2. Regional HR shared services – 35 %
- Collaborate with the HR shared services team (Regional Head Quarter team who is supporting local markets within Asia Pacific Region) to streamline and improve operational processes.
- Manage employees’ personal files, including creation, maintenance, archival, and destruction, while ensuring compliance with data privacy regulations. Assist in the management of employee data, ensuring accuracy and confidentiality.
- Respond promptly to inquiries from employees and managers regarding HR policies and processes.
- Provide administrative support for HR projects and initiatives, including data entry, report generation, and analysis.

- Currently pursuing a degree in Human Resources, Business Administration, Information Technology or a related field.
- Have prior Internship experience related to Human Resources in FMCG
- Excellent communication skills – both written and verbal
- Strong collaborator and interpersonal skills
- Self-motivated and can work independently
- Proficient in Microsoft Excel and PowerPoint skills
- Detail-oriented with strong organizational skills and project management skills; proficiency in project management applications would be advantageous.
- Prior experience with Enterprise HR system is an added advantage but not a mandatory prerequisite.
