Asia Pacific - Human Resources Operations Executive
MAIN PURPOSE
The HR Operations Executive plays a pivotal role in driving operational efficiency and excellence within the HR organization for Asia Pacific Region. This position is essential for ensuring the smooth execution of core HR operations responsibilities. Additionally, the role extends its HR Operations support to multiple markets under a shared service model, ensuring consistency and efficiency across Asia Pacific Region.
KEY RESPONSIBILITIES
HR & HR Information System (HRIS) Operations
- Ensure HR operations are executed smoothly and timely. This includes, but is not limited to, onboarding, transfers, organizational changes, offboarding, leave and benefit administration, probation confirmation processes, exit processes, work pass management, and preparation of letters.
- Maintain accurate and up-to-date records in HRIS
- Maintain employee data filing timely for easy information retrieval.
- Perform regular audits of data to ensure data consistency and completeness in HRIS
- Provide accurate and timely information for payroll processing and annual income tax submission to external payroll vendors.
- Ensure effective and efficient execution and delivery of HR policies, procedures, and services in accordance with legal compliance and company policy.
- Handle employee queries related to payroll, leave, and benefits processes.
- Ensure HRIS operates efficiently by working with the application maintenance system team.
- Support annual J-SOX audit process by providing documents required by auditors.
- Process HR-related invoices, ensuring accuracy and timely payment.
Compensation & Benefits Operations
- Prepare annual external market compensation & benefits survey timely.
- Participate in annual compensation review & bonus process. This includes, but is not limited to, preparation of employee and external market benchmark data, consolidate compensation review inputs, preparation of compensation & bonus statements, and update of approved salary changes, bonus, promotions into HRIS.
- Participate in annual compensation budget process. This includes, but is not limited to, gathering external market benchmark data, consolidating compensation budget inputs, and comparing consolidated inputs to external market benchmark data.
- HR Operational Excellence
- Create and maintain up-to-date guides for HR process and system operations.
- Contribute to HR operational excellence by regularly reviewing HR operations and standard operating processes, identifying opportunities for improvement, and working closely with HR Business Partners (HRBP) and various HR Centers of Excellence (COEs) to drive HR efficiency and productivity.
- Provide timely HR reports and metrics/statistics for management reporting, statutory purposes or as and when required by internal stakeholders
- Create and maintain HR dashboards to track key HR metrics and provide analysis through visual insights (e.g., employee turnover, demographics)
Ad-Hoc Assignments and Projects
- Participate in ad-hoc assignments and HR-related projects as assigned.
REQUIREMENTS
- Bachelor’s degree in HR, Business or a related field with a minimum of 3 years of relevant experience in compensation & benefits, HR operations or payroll administration
- Proficient in Microsoft applications including Visio
- Meticulous and detail oriented
- Good knowledge in HRIS such as SAP SuccessFactors
- Good written skills and able to communicate effectively with all stakeholders
- Fast-paced, proactive, and resilient
- Good team player and able to handle stress
- Analytical with a positive and growth mindset
