Asia Pacific - Commercial Logistics Executive

MAIN PURPOSE

This position is responsible for end-to-end supply chain management and logistic function.

 

 

KEY RESPONSIBILITIES

 

  1. Order Management
    1. Handle orders processing for Shiseido Affiliates and Distributors.
    2. Create orders for Finished Goods, POSM, GWP and other non-saleable items and process invoices upon order processing from HQ.
    3. Managing customer and supplier enquires and handling of exception orders and shipments.
    4. Ensure timely PO submission by distributors via Marketing Team
    5. Process claim/return order for Distributors or Affiliates
    6. Notify prices to affiliates and distributors.

 

  1. Invoice Generation and Sales Tracking
    1. Ensure timely preparation of invoices and shipping documents.
    2. Provide monthly sales estimation.
    3. Closing and reporting of monthly sales. This includes SOA reconciliation with finance during month end closing process.
    4. Maintain inventory records and perform monthly reconciliation.

 

  1. Shipment Tracking
    1. Working closely with Shiseido Affiliates and Distributors to ensure shipments are booked and secured on time.
    2. Coordinate with Shiseido’s Export Distribution Centres to ensure goods are ready to be dispatched or picked up on time.
    3. Ensuring relevant shipping documents are provided on time and accurate.  
    4. Tracking of orders and shipments and reporting the status on a timely manner.
    5. Manage and liaise with customers, suppliers, demand planner, warehouse, transport and freight forwarders.
    6. Verify freight invoices.

 

  1. Master Data Management
    1. Creation of new material code, update the SPK (change of source plant) and batch flag.
    2. Update the material status if materials are ‘Obsolete’ or ‘End of Life’.
    3. Provide list of materials to finance to do costing run and make sure Transfer Pricing (TP) are correct before informing finance to release
    4. Request and maintain buy/sell (FOB 1 and FOB2) prices.

 

  1. Others
    1. Ad-hoc supply chain projects assigned by superior such as Cost Savings initiatives.
    2. Support key activities in developing self and organisational growth.

 

 

REQUIREMENTS

 

  • Degree in Supply Chain Management, Logistics, Operations Management or equivalent.
  • Minimum 5 years’ experience in handling Order Management, Customer Service and Invoicing.
  • Knowledge in International Shipping and Freight processes and documents is preferred.
  • Experience in handling SAP S4 is highly advantageous.
  • Experience in dealing with or managing stakeholders in other countries is preferred.
  • Understanding of end-to-end Supply Chain processes in particularly Logistics.
  • Self-starter team player, proactive, motivated and possess good problem-solving and analytical skills.
  • Proficient in Microsoft Excel at least at an Intermediate level.
  • Able to strive in a dynamic and fast-paced environment.
  • Able to effectively prioritize and manage multiple tasks whilst achieving deadlines with minimal supervision.
  • Strong in coordination and negotiation skills.
  • Good verbal, written and interpersonal skills.
