Job Summary

The Talent Acquisition Coordinator assists the Talent Acquisition team in facilitating the funnel of top talent to Shiseido Americas. The Talent Acquisition Coordinator plays an essential role by providing administrative and technical support to our candidates, employees, managers and external vendors. The role is strategic and responsible for maintaining smooth hiring and recruitment processes as well as the retention of high-performing employees.


Key Responsibilities

  • Proofread, edit and post job requisitions
    • Maintain Recruitment Status Report
  • Applicant Tracking System (SuccessFactors)
    • Upload candidate resumes as requested by Recruiters
    • Create and distribute Talent Network on a bi-weekly basis to Shiseido Organization
  • Recruitment Process
    • Maintain and ensure a high-touch experience with all candidates, at all levels, who are active OR potential candidates
    • Coordinate candidate interviews: identify meeting locations, create and send calendar invites, create and send confirmations to candidates, register candidates in security, and greet/usher candidate as necessary
    • Perform reference checks as requested by Recruiters 
    • Communicate and maintain updates with Recruiters on candidate status’ with frequency: touch bases, Recruitment Status Report (RSR), candidate tracker, SuccessFactors

Project Work

  • Consultant Tracker: Maintain and consolidate all consultants across Shiseido with HRBP partners
  • Internship Program: Manage planning and logistics of program; serve as point contact for interns; prep and attend all intern events and career fairs 
  • Employee Referral Program: Maintain referral mailbox and enter referral in applicant tracking system as needed
    • Source, screen and select candidates for Recruiters


  • Co-manage VP, Talent & Talent Development calendar 
  • Process invoices and manage agency contracts
  • Create and update team reports, presentations, documents, agendas, etc.
  • Assist with updates to Glassdoor, LinkedIn, Indeed and Survey Monkey as needed
  • Coordinate and prep for team meeting
  • Ad hoc reporting

Qualifications & Competencies

  • Bachelor’s degree required
  • 1+ years of experience in administrative function or related corporate experience (internship experience counted)
  • Ability to professionally interact/partner with stakeholders at all levels including HR Business Partners and Hiring Managers
  • Experience with Applicant Tracking Systems and LinkedIn preferred
  • Proficient in MS Office applications such as Word, Excel
  • Proven organizational/coordination skills with strong attention to detail and a proactive attitude
  • Strong written and verbal communication skills
  • Ability to work in a fast pace, high volume recruitment environment
  • Prior HR experience or coursework highly desired 
  • Familiarity with applicant tracking system (SuccessFactors) a plus
  • Ability to work with a sense of urgency
