Job Summary

The Talent Acquisition Associate Manager assists the Talent Acquisition team in facilitating the funnel of top talent to Shiseido Americas. The Talent Acquisition Associate Manager plays an essential role by providing administrative and technical support to our candidates, employees, and external partners. The role is strategic and responsible for maintaining smooth hiring and recruitment processes both internally and externally.

Key Responsibilities
Recruitment

  • Maintain a full cycle req load
    • Sourcing and screening candidates
  • Proofread, edit, and post job requisitions
    • Maintain Recruitment Status Report
  • Applicant Tracking System (SuccessFactors)
  • Recruitment Process
    • Maintain and ensure a high-touch experience with all candidates
    • Coordinate candidate interviews: identify meeting locations, create and send calendar invites, create and send confirmations to candidates, register candidates in security, and greet/usher candidates as necessary
    • Perform reference checks as requested by Recruiters 
    • Thorough follow through including regular updates to Recruiters on candidate status: touch bases, Recruitment Status Report (RSR), candidate tracker, SuccessFactors etc.

Project Work

  • Internship & Senkusha Programs: Help to manage planning and logistics of both programs; serve as point contact for interns; prep and attend all intern events and career fairs 
  • Employee Referral Program: Maintain referral mailbox and manually enter referral in applicant tracking system as needed
    • Source, screen and select candidates for Recruiters

Administrative

  • Co-manage VP, Talent & Talent Development calendar 
  • Process invoices and manage agency contracts
  • Create and update team reports, presentations, documents, agendas, etc.
  • Coordinate and prep for team meetings
  • Ad hoc reporting

Qualifications & Competencies

  • Bachelor’s degree required
  • 3+ years of experience in administrative function or related corporate experience (internship experience counted)
  • Ability to professionally interact/partner with stakeholders at all levels including HR Business Partners and Hiring Managers
  • Experience with Applicant Tracking Systems and LinkedIn preferred
  • Proficient in MS Office applications such as Word, Excel
  • Proven organizational/coordination skills with strong attention to details and a proactive attitude
  • Strong written and verbal communication skills
  • Ability to work in a fast pace, high volume recruitment office
  • Prior HR experience or coursework highly desired 
  • Familiarity with applicant tracking system (SuccessFactors)

Ability to work with a sense of urgency
