Working with the Talent Acquisition Manager the Talent Acquisition Assistant will support the retail teams with high-volume retail recruitment and administration. Working closely with the Area Sales and Education Managers the TA Intern will be responsible for managing all retail recruitment on the applicant tracking system, posting job advertisements and managing the recruitment offers, changes and leavers administration process.

MAIN RESPONSIBILITIES

  • Working closely with the Area Sales and Education Managers (ASEMs) on the the administration for the in the vacancy approval process.
  • Posting and managing job adverts on our Applicant Tracking Systems (ATS) – MIRAI,  monitoring response levels and refreshing adverts as necessary for all Shiseido Group brands.
  • Inputting and maintaining data in MIRAI, ensuring the overall candidate experience and journey is managed in an engaging, on-brand manner.
  • Manage and maintain timely, accurate and comprehensive candidate and vacancy tracking to report on a weekly basis to HR team and wider business on vacancy rates, time-to-hire, etc.
  • Encourage and oversee internal applications and Refer a Friend scheme usage, as appropriate, to ensure the internal candidate experience is engaging.
  • Supporting the administration process relating to the issue of contracts and joining paperwork and liaising with candidates throughout the offer process to ensure they have all the information they need.
  • Engage with EMEA stakeholders as required to maintain effectiveness of Mirai and to be proactive in spotting errors or improvements and resolving these.
  • Work closely with the Talent Acquisition Manager with social posts and recruitment events.
  • Support the Talent Acquisition Manager with recruitment administration for Corporate recruitment
  • Support with recruitment projects or activities to promote the Shiseido as an employer of choice.
  • Support other HR team members as required with recruitment needs.
  • Support with onboarding as required by the business.

 

 

 

PROFILE, SKILLS AND EXPERIENCE REQUIRED

  • Passion and interest in the beauty industry.
  • Excellent written and verbal communication skills.
  • Friendly and professional demeanour, with the ability to engage and excite candidates in the Group and individual brand stories.
  • Highly organised with a high level of attention to detail.
  • Highly motivated and proactive; able to spot opportunities to pipeline candidates in new or different ways and to attract candidates effectively at little or no cost.
  • An effective, highly competent administrator with strong experience in all Microsoft Office programs.
  • Ability to multitask and prioritise in a work environment with often changing and competing priorities and the ability to deliver exceptional customer service to all despite this.
  • Proven ability to work collaboratively and build positive & effective business relationships.
  • Passionate about delivering to the highest standards consistently.
  • Experience of supporting recruitment within a fast-paced environment, with experience of arranging and conducting interviews and partnering with a variety of hiring managers.
